Nykaa is the most compliance-heavy catalogue an Indian beauty brand will build. Unlike Amazon or Flipkart, there is no public seller help centre with pixel sizes and character limits. Nykaa's own site blocks automated readers, and its seller-facing pages say little beyond "register your interest". How does Nykaa onboarding and listing work?

Nykaa works with brands, not open sellers. You apply through the "Sell on Nykaa" enquiry page or through a category contact, share business, brand and category details, and, if the category team is interested, receive a commercial proposal and a catalogue template. Two models exist: an inventory model where Nykaa buys stock and lists it as seller of record (most beauty), and a marketplace model where you list and ship in your own name (much of fashion and some wellness). Either way, the content work is yours: Nykaa's team reviews what you submit and sends back a rejection sheet, it does not write your listings.

Third-party guides put approval at anything from two weeks with a complete file to six weeks or more when documents or content bounce. Nykaa publishes no timeline. The practical point is that catalogue readiness is on the critical path: brands that arrive with a complete ingredient, licence and image pack go live faster than brands that negotiate first and build content later.

What documents and compliance fields does a Nykaa listing need?

Nykaa's template mirrors Indian regulation, so the fields are predictable even though the sheet is private. For each SKU you should expect to supply:

"FDA" in the Nykaa context means the state Food and Drug Administration that issues cosmetic manufacturing licences, not the US agency; imported brands sometimes upload a US FDA facility registration and get sent back for the CDSCO certificate instead. How should the ingredient list and claims be written?

The ingredient field is the one most often returned. What works, and what Nykaa's reviewers expect, is the full list from the pack in descending order of concentration, using INCI names (Aqua, Glycerin, Niacinamide) rather than marketing names, with fragrance and colour indices listed as printed. Do not summarise ("natural extracts"), do not paste hero ingredients only, and make sure the list in the field matches the back-of-pack image pixel for pixel, because reviewers compare the two.

Claims are the second recurring problem. Agency guides are unanimous that "unsubstantiated claims without certification" are a suspension risk on Nykaa, and this matches Indian advertising law. The safe rules:

  • Words such as "clinically proven", "dermatologist tested" or "dermatologist recommended" need a study or a signed certificate on file, and Nykaa may ask for it.
  • Medical claims ("cures acne", "treats pigmentation", "anti-fungal") are drug claims and are not allowed on a cosmetic listing at all.
  • "Natural", "organic" and "chemical-free" need certification (for example an organic certificate) or should be reworded ("made with plant-derived ingredients").
  • Percentages ("10% niacinamide") must appear in the ingredient list or on the pack.
  • Comparative claims against named brands are rejected.

Description length matters for conversion as well as compliance. One operator handbook contrasts optimised Nykaa listings at around 220 words, benefit-led with ingredient call-outs, usage steps and warnings, against thin listings of 30 to 40 words of label copy. Nykaa's page layout has separate fields for description, key ingredients, how to use, and skin or hair concern; fill every one, because the concern tags drive filters.

What are Nykaa's image standards?

Things that get images sent back: packaging shots with the shrink-wrap or courier box, retouching that changes the colour of a shade, promotional stickers ("Free gift", "Best seller"), a different pack design from the one that will ship, and hero images that show a bundle when the SKU is a single unit. Colour accuracy is the special Nykaa problem: a lipstick swatch that is warmer on screen than in the tube produces returns, and Nykaa's category team will ask for a reshoot when swatches across a range are visibly inconsistent.

How do I set up shades and variants?

Colour cosmetics are where Nykaa catalogues get big. A 24-shade foundation is one product page with 24 child SKUs, each with its own barcode, shade name, shade number, hex or family value (for the filter), swatch image and, ideally, its own on-model image. In the template that means one parent row carrying the shared description, ingredients (if identical across shades) and hero, and one child row per shade with the variant-specific fields. Where ingredients differ by shade (they often do for pigments), each child carries its own list.

Three rules make variant sheets go through: shade names must match the pack exactly, including capitalisation and numbering ("02 Warm Beige", not "Warm Beige 2"); every child needs its own EAN, because Nykaa's warehouse picks by barcode and a shared barcode across shades leads to wrong-shade deliveries and returns; and size variants (30 ml, 50 ml) are a separate axis from shade, so do not mix them in one parent.

A worked example. Say a 12-shade lipstick range at Rs 699 MRP. The catalogue pack is one parent, 12 children, 12 EANs, 12 swatch images, 12 on-lip images, one hero, one back-of-pack and one texture shot: 27 images and 13 rows. If one shade's swatch is rejected for colour mismatch, the whole parent usually waits. Budgeting the shoot for all shades in one session, on one skin tone under one light, is cheaper than re-shooting one shade three weeks later.

Why do Nykaa listings get rejected?

From agency reports and our own rejection sheets, in rough order of frequency:

  1. Ingredient list incomplete or not matching the back-of-pack image.
  2. Licence number missing, expired, or not matching the manufacturer on the pack.
  3. Claims without evidence, or medical claims on a cosmetic.
  4. Hero image not on white, or showing packaging, badges or text.
  5. Shade names or barcodes inconsistent across the variant sheet.
  6. MRP or net quantity in the sheet different from the pack (a Legal Metrology mismatch).
  7. Shelf life field blank or the product arriving at the warehouse with too little life left.

Fix them in that order: compliance first, content second, images third. A listing that is compliant but plain goes live and can be improved; a beautiful listing with a missing licence number does not.
